Prerequisite

  • AWS account with appropriate permissions
  • List of user email addresses for those you wish to invite to use Amazon WorkDocs.

Steps to perform for setting up Amazon WorkDocs

Step 1: In the AWS management console, search for Amazon WorkDocs and navigate to the Amazon WorkDocs service.

step1

Step 2: Navigate to the My Sites and click on Create an Amazon WorkDocs site.

step2

On the next page, select the Simple AD and click next. You will be prompted to enter a site name and Administrator email address. You can also choose a custom VPC or let it set a VPC on your behalf. Once you are done with all the details, click on Create Simple AD site.

step2b

Once you click Create, setting up the site will take approximately 10 minutes. Once the site is created, an email with access instructions to the administrator email address will be sent, which you provided at the time of creation.

Step 3: Once you receive the Email, open it, click Get Started, and set a strong password for your administrator user.

step3

Once logged in, you can create files and folders in your Amazon WorkDocs. You can also collaborate with other users and share the file with them.

Step 4: To create a user, go to your account and click on open admin control panel.

step4

Now, you can scroll below, click on invite user, add the new user’s email address, and click send. Email addresses will receive an invite from Amazon WorkDocs and will be required to set up the password.

Step 5: Once the user has been invited, we can collaborate with the user. Select a file or folder, navigate to the share, and add the user’s email address. Three different permissions can be assigned to the user. Choose it accordingly and click on save.

step5

The second user can now see the file or folder under the collaboration tab on the Amazon WorkDocs console.

Using as network storage

One of the key features provided by Amazon WokDocs is that we can use it as a network drive on our local system. Follow the below steps to attach it as a drive.

In the console, navigate to the Apps and download the drive app according to your OS compatibility.

step6

Once downloaded, you can install the package and enter your Amazon WorkDocs site URL and login credentials. Once you are done with authorization, you will be able to see a network drive with the name “<user-name>-<siteurl>”.

step7

Now, you can access your Amazon WorkDocs file without needing to go to the browser, making it easier to manage and work on the files as it allows you to work on them instead of repeatedly uploading them directly.

Conclusion

Following this step-by-step guide, you can successfully implement Amazon WorkDocs within your organization, facilitating efficient document collaboration and management. This cloud-based solution simplifies document sharing, version control, and access management while providing robust security features and scalability. Whether your organization is transitioning to remote work or needs a more secure and efficient document management solution, Amazon WorkDocs is an asset to streamline your workflows and enhance collaboration.
